MEMBERSHIP POLICY

1. Purpose

This policy establishes the membership framework for Swimfit, defining eligibility, rights, responsibilities, and benefits for all members.

2. Scope

This policy applies to all individuals enrolling in Swimfit swimming programmes and classes.

3. Membership Eligibility

– Open to individuals of all ages and swimming abilities
– Participants under 18 must have written consent from a parent or legal guardian
– Medical clearance may be required for individuals with certain health conditions
– All members must agree to abide by Swimfit’s Code of Conduct and policies

4. Types of Membership

Individual Classes: Single or multiple class enrolments per week

– Pay-as-you-go option for flexible participation
– Term-based packages for consistent commitment

Term Memberships: Structured enrolment for a defined programme period

– Access to regular scheduled classes
– Priority booking for available sessions

Family Memberships: Multiple family members enrolled together

– Discounted rates for two or more family members
– Flexible scheduling to accommodate family needs

5. Membership Duration

– Memberships are typically offered on a term basis (e.g., 8-12 weeks per term)
– Members may renew their membership for subsequent terms
– Early termination requires written notice as per Terms & Conditions

6. Membership Benefits

– Access to scheduled swimming classes with qualified instructors
– Use of designated facility amenities during class times
– Progress tracking and feedback from instructors
– Opportunity to participate in Swimfit events and activities

7. Membership Responsibilities

– Payment of all fees by the agreed deadline
– Attendance at booked classes or providing notice of cancellation
– Adherence to the Code of Conduct for swimmers or parents/guardians
– Respect for facility rules and other members
– Reporting of any health concerns or medical changes affecting participation

8. Membership Renewal and Withdrawal

– Members wishing to renew receive priority booking for the next term
– Withdrawal requires one month’s written notice or payment equivalent (see Terms & Conditions)
– Medical exceptions for withdrawal may be accommodated with supporting documentation

9. Membership Suspension or Termination

Swimfit reserves the right to suspend or terminate membership if:

– Fees remain unpaid after reasonable notice
– Member violates the Code of Conduct
– Member poses a safety risk to themselves or others
– Member engages in harassment, bullying, or unsafe behaviour

10. Communication

CODE OF CONDUCT – SWIMMERS

1. Purpose

This Code of Conduct establishes behavioural standards for all swimmers participating in Swimfit programmes, ensuring a safe, respectful, and enjoyable experience for all participants.

2. Scope

This Code applies to all swimmers of all ages participating in Swimfit classes.

3. General Conduct Expectations

Respect and Courtesy:

– Treat instructors, lifeguards, venue staff, and fellow swimmers with respect and kindness
– Use appropriate language and avoid offensive, abusive, or discriminatory remarks
– Respect the personal space and boundaries of others

Punctuality and Attendance:

– Arrive at least 10 minutes before class to allow time for preparation
– Notify Swimfit in advance if unable to attend a scheduled class
– Respect the scheduled start and end times of classes

Facility Rules Compliance:

– Adhere to all venue facility rules and safety guidelines
– Follow the instructions of instructors and lifeguards at all times
– Use changing facilities appropriately and respectfully
– Dispose of litter properly and help keep facilities clean

4. Safety Responsibilities

Health and Medical Information:

– Disclose all relevant medical conditions, allergies, and health concerns before class commencement
– Notify instructors immediately of any health changes that may affect participation
– Do not attend classes if you have contagious illnesses, infections, or open wounds
– Inform instructors of any pain or discomfort during class

Swimming Skills and Honesty:

– Be honest about your swimming level and abilities
– Do not participate in classes above your skill level without instructor approval
– Follow all safety instructions and only use approved swimming techniques
– Inform instructors of any fears or concerns related to water activities

Emergency Protocols:

– Participate in all safety briefings and emergency drills
– Follow emergency evacuation procedures without delay
– Report any unsafe conditions or equipment to staff immediately

5. In-Pool Conduct

– No running, horseplay, or diving without instructor permission
– Do not interfere with other swimmers or distract them during class
– Use equipment only as directed by the instructor
– Avoid splashing or water play that may disrupt the learning environment
– Respect the instructor’s authority in the pool at all times

6. Photography and Recording

– Do not photograph or record other swimmers without their explicit permission
– Do not share photos or videos of other participants on social media without consent
– Know that Swimfit may photograph you for internal and promotional purposes (see Privacy Policy)

7. Equipment and Facility Care

– Use all facility equipment correctly and respectfully
– Report any damaged or faulty equipment to staff immediately
– Do not remove facility property or equipment without authorisation
– Return all borrowed equipment promptly and in good condition

8. Prohibited Conduct

The following behaviours are strictly prohibited:

– Violence, aggression, or threatening behaviour toward others
– Bullying, harassment, or discrimination of any kind
– Inappropriate or inappropriate physical contact
– Use of alcoholic beverages or illegal substances
– Smoking, vaping, or use of tobacco products in facility areas
– Use of inappropriate language or behaviour that creates a hostile environment
– Disrespect or defiance toward instructors or venue staff

9. Misconduct and Disciplinary Action

Swimfit reserves the right to:

– Warn swimmers about inappropriate behaviour
– Suspend participation for serious or repeated misconduct
– Terminate membership if conduct continues after warnings
– Report serious incidents to relevant authorities if necessary

10. Commitment to Safety

All swimmers agree to:

– Take responsibility for their own safety and learning
– Respect the safety and well-being of others
– Support the creation of a positive and inclusive swimming community
– Follow all safety guidelines without exception

CODE OF CONDUCT – PARENTS & GUARDIANS

1. Purpose

This Code of Conduct establishes behavioural standards for parents, guardians, and adults responsible for young swimmers. Creating a supportive and respectful environment benefits all participants and staff.

2. Scope

This Code applies to all parents, legal guardians, and adults accompanying children to Swimfit programmes.

3. General Conduct Expectations

Respect and Professionalism:

– Treat instructors, lifeguards, venue staff, and other parents with respect and courtesy
– Use appropriate language and maintain a professional demeanour
– Avoid arguments, disputes, or aggressive behaviour at the facility
– Accept constructive feedback from instructors about your child’s progress

Attendance and Punctuality:

– Arrive on time to collect your child at the end of class
– Notify Swimfit in advance if pickup will be late or if alternative arrangements are needed
– Ensure proper supervision before and after class
– Attend any scheduled parent-child classes or special events as committed

Communication:

– Maintain open and respectful communication with instructors about your child’s needs
– Respond promptly to emails or messages from Swimfit regarding your child
– Share relevant information about your child’s health, behaviour, or concerns
– Discuss any issues through appropriate channels rather than in public or to other parents

4. Child Supervision and Safety Responsibilities

Direct Supervision:

– Remain on the premises during your child’s class to provide supervision
– Maintain visual contact with your child at all times
– Be available in case of emergency or if your child becomes distressed
– Supervise your child in changing areas and ensure they use facilities appropriately

Health and Medical Information:

– Disclose all relevant medical information about your child before class commencement
– Keep emergency contact information current
– Inform instructors of any illnesses, injuries, or health changes affecting your child
– Provide written medical documentation if requested

Water Safety at Home:

– Discuss water safety rules with your child
– Supervise all swimming activities outside of Swimfit
– Ensure your child understands the difference between class learning and unsupervised water exposure
– Recognise that Swimfit classes support but do not guarantee water competency or safety

5. At the Facility

Conduct:

– Do not use facility amenities intended only for participants (pools, equipment areas)
– Remain in designated waiting areas during classes
– Do not interfere with ongoing classes or instruct your child during class time
– Keep siblings and companions quiet and under control
– Respect facility rules and venue policies

Child Behaviour:

– Ensure your child is ready for class (appropriate swimwear, toilet breaks completed before class start)
– Support the instructor’s authority and reinforce their instructions to your child
– Do not criticise or contradict instructor feedback in front of your child
– Address any behavioural concerns with the instructor professionally

6. Communication with Instructors

Appropriate Interaction:

– Speak with instructors during designated times, not during class
– Keep conversations brief and focused on your child’s progress and needs
– Avoid making demands or complaints in public settings
– Schedule a formal meeting if you have concerns requiring extended discussion

Feedback and Expectations:

– Trust the instructor’s professional judgement and expertise
– Recognise that instructors adapt teaching to individual needs within class constraints
– Provide constructive suggestions rather than criticism
– Avoid comparing your child to other swimmers

7. Photography and Social Media

– Do not photograph or record other children without explicit consent from their parents/guardians
– Do not share photos or videos of other children on social media
– Understand that Swimfit may photograph your child for internal and promotional purposes (subject to consent)
– Respect the privacy of all participants and families

8. Prohibited Conduct

The following behaviours are not tolerated:

– Abusive, threatening, or aggressive language toward staff or other parents
– Bullying or harassment of staff, instructors, or other families
– Discrimination based on race, gender, age, disability, or other characteristics
– Use of alcoholic beverages or illegal substances at the facility
– Smoking, vaping, or tobacco use in facility areas
– Physical violence or aggressive behaviour
– Disrespect or defiance toward venue staff or instructors

9. Misconduct and Consequences

Parents or guardians engaging in misconduct may face:

– Verbal or written warnings
– Suspension of child’s participation
– Termination of membership
– Reporting to relevant authorities for serious incidents

10. Commitment to Community

All parents and guardians agree to:

– Support a positive, inclusive, and respectful swimming community
– Work collaboratively with Swimfit to support their child’s learning
– Model appropriate behaviour and respect for rules
– Contribute to the safety and well-being of all participants
– Recognise that mutual respect between staff and parents benefits everyone

CODE OF CONDUCT – COACHES & INSTRUCTORS

1. Purpose

This Code of Conduct establishes professional and ethical standards for all swimming coaches, instructors, and assistant coaches employed by Swimfit. This code ensures the highest standards of safety, professionalism, and care for all participants.

2. Scope

This Code applies to all swimming coaches, instructors, assistant coaches, and any individuals delivering swimming instruction or coaching on behalf of Swimfit.

3. Mandatory Qualifications and Certifications

Police Check (SCRC):

– All coaches and instructors must obtain a Sexual Conviction Record Check (SCRC) from the Hong Kong Police Crime Records Bureau before commencing employment
– SCRC must be renewed every three years to ensure continued suitability
– Any criminal convictions or pending charges must be immediately disclosed to Swimfit management
– Employment may be terminated if SCRC reveals unsuitable offences or if certification lapses

Bronze Medallion Lifeguard Qualification:

– All instructors teaching in pool environments must hold a valid Bronze Medallion certificate or equivalent recognized lifeguard qualification
– Bronze Medallion certification is required for water-based safety and rescue competency
– Certification must be renewed as per the certifying body’s requirements (typically annually or every 2 years)
– Instructors must maintain up-to-date knowledge of rescue techniques and water safety protocols
– Expired certification will result in the instructor being removed from water-based teaching duties until renewed

Swimming Teaching Qualifications:

– All coaches and instructors must hold recognised swimming teaching qualifications or certifications such as:

– Level 1, 2, or 3 Swimming Teacher Qualification (or equivalent)
– Level 1, 2, or 3 Coaching Accreditation
– Internationally recognised swimming instruction certifications
– Other qualifications approved by Swimfit management
– Teaching qualifications must be appropriate to the level and age group of swimmers being instructed
– Qualifications must be maintained and renewed according to the issuing body’s requirements
– Expired qualifications will prevent the instructor from teaching until renewed
– Continuous professional development is expected to maintain and enhance teaching skills

First Aid & CPR Certification:

– All instructors must hold current First Aid and CPR certification
– Certification must be renewed every 2-3 years depending on the issuing body
– Advanced CPR including AED training is required
– Expired certification will result in immediate removal from teaching duties

4. Certification Maintenance and Record Keeping

Swimfit Responsibilities:

– Swimfit maintains updated records of all staff certifications
– Swimfit tracks renewal dates and provides advance notice when certification is expiring
– Swimfit ensures adequate notice to allow staff time to renew certifications
– Swimfit provides support for professional development and training opportunities
– Swimfit covers or subsidises certification and renewal costs where applicable

Staff Responsibilities:

– Instructors must maintain all certifications in current, valid status
– Instructors must notify Swimfit immediately if certification will lapse
– Instructors must provide evidence of renewed certification within 5 working days of renewal
– Instructors must plan ahead to ensure continuity of certification
– Instructors unable to maintain certifications may have employment terminated

Documentation:

– Copies of all certifications and qualifications are kept securely on file
– Electronic copies and physical copies are maintained for backup
– Records are reviewed quarterly to ensure all staff maintain current credentials
– A publicly displayed list of instructor qualifications may be made available to participants

5. Professional Conduct and Ethics

Integrity and Honesty:

– Instructors must conduct themselves with integrity, honesty, and professionalism at all times
– Instructors must not falsify, exaggerate, or misrepresent qualifications or experience
– Instructors must maintain confidentiality regarding participant information
– Instructors must admit mistakes and work to correct them promptly

Respectful Behaviour:

– Treat all participants, parents, colleagues, and facility staff with respect and dignity
– Use appropriate, professional language with all individuals
– Demonstrate respect for cultural differences and diverse backgrounds
– Address conflicts professionally and constructively
– Avoid gossip, criticism, or negative comments about participants or colleagues

Appropriate Boundaries:

– Maintain professional boundaries with all participants, particularly children
– Avoid unnecessary physical contact and ensure any teaching-related contact is appropriate
– Do not engage in personal relationships or friendships that could compromise professionalism
– Maintain appropriate distance and demeanour at all times
– Keep communications with participants professional and documented

6. Child Safeguarding and Duty of Care

Protection of Vulnerable Individuals:

– Recognise the vulnerability of young swimmers and those with disabilities
– Take all reasonable steps to protect children and vulnerable adults from harm, abuse, or exploitation
– Be alert to signs of abuse, neglect, or concerning behaviour
– Report any safeguarding concerns immediately to management
– Follow all Swimfit safeguarding policies and procedures

Supervision Standards:

– Maintain constant, vigilant supervision of all participants during instruction
– Position yourself where you can see all swimmers at all times
– Do not leave the pool area unattended when instruction is occurring
– Respond immediately to any signs of distress or unsafe behavior
– Enforce pool rules and ensure participants follow instructions

One-to-One Instruction:

– Ensure one-to-one or small group instruction takes place in visible areas
– Avoid being alone with a child in isolated areas
– Keep doors open during instruction when possible
– Have another responsible adult present or maintain line of sight to other staff
– Document all one-to-one sessions

Communication with Parents:

– Maintain regular, professional communication with parents about their child’s progress
– Address any safeguarding concerns directly with management, not privately with parents
– Keep communications professional and focus on the child’s swimming development
– Use appropriate channels (email, phone, or formal meetings) for all communication
– Avoid social media connections with participants or parents

7. Health and Safety Responsibilities

Pool Safety:

– Enforce all safety rules and regulations consistently
– Maintain awareness of water temperature, chemical levels, and facility maintenance
– Report any safety hazards or equipment issues immediately
– Wear appropriate swimwear and footwear for teaching
– Demonstrate excellent swimming ability and water confidence

Emergency Response:

– Be trained in emergency procedures and rescue techniques
– Respond immediately to any participant in distress
– Know the location of emergency equipment and how to use it
– Be prepared to perform CPR or rescue breathing if necessary
– Follow emergency protocols and incident reporting requirements

Participant Monitoring:

– Assess each participant’s ability level and ensure appropriate class placement
– Monitor for signs of fatigue, distress, hypothermia, or medical emergency
– Adjust instruction if a participant appears unwell or unsafe
– Report any health or safety concerns to management
– Maintain detailed attendance and incident records

8. Professional Development

Continuing Education:

– Engage in ongoing professional development to enhance teaching skills
– Attend training courses, workshops, and conferences where available
– Seek feedback from management and participants to improve performance
– Stay current with best practices in swimming instruction and water safety
– Pursue higher-level qualifications and certifications

Performance Review:

– Participate in regular performance reviews with management
– Receive constructive feedback on teaching effectiveness and professionalism
– Identify areas for improvement and personal development
– Discuss career development opportunities and training needs
– Document progress and achievements

9. Fitness to Practice

Health and Medical Requirements:

– Instructors must be in good physical health to safely teach swimming
– Instructors with medical conditions affecting ability to teach must disclose this to management
– Instructors must not teach while under the influence of alcohol or drugs
– Instructors must maintain adequate fitness to demonstrate swimming techniques and provide rescue

Conduct Outside Work:

– Conduct outside of work that brings discredit to Swimfit or raises safeguarding concerns may affect employment
– Criminal convictions or allegations involving children or safeguarding must be reported to management immediately
– Swimfit reserves the right to investigate and take action for conduct that affects fitness to teach children

10. Prohibited Conduct

The following behaviours are strictly prohibited:

– Any form of physical, emotional, or sexual abuse or exploitation of participants
– Physical punishment or excessive criticism
– Inappropriate grooming, boundary violations, or sexual conduct
– Bullying, harassment, or discrimination of any individual
– Use of abusive, offensive, or threatening language
– Taking inappropriate photographs or recordings of participants
– Sharing personal contact information with participants outside professional channels
– Substance abuse or teaching while impaired
– Falsifying qualifications or certifications
– Violations of confidentiality or participant privacy
– Any conduct that creates an unsafe or hostile environment

11. Dress Code and Professional Appearance

Appropriate Attire:

– Wear clean, professional swimwear appropriate for teaching (swim briefs, one-piece swim suits, or shorts)
– Wear appropriate footwear (aqua shoes or non-slip pool shoes)
– Cover up when not actively in the water (use shirts, cover-ups, or robes)
– Remove jewelery that could be hazardous to participants or yourself
– Maintain good personal hygiene and grooming standards

Avoid:

– Inappropriate or revealing clothing
– Jewellery that could injure participants
– Excessive makeup, perfume, or cologne
– Clothing that presents a safety hazard in the water

12. Accountability and Discipline

Reporting and Investigation:

– Any violation of this Code of Conduct will be investigated promptly
– Swimfit will meet with the instructor to discuss concerns and provide opportunity to respond
– Investigations will be conducted fairly and confidentially
– Outcomes will be documented and communicated to relevant parties

Disciplinary Action:

– Minor violations may result in verbal warnings and performance improvement plans
– Serious violations may result in suspension or termination
– Criminal conduct or safeguarding violations will result in immediate action, potentially including:
– Immediate suspension pending investigation
– Termination of employment
– Reporting to relevant authorities
– Notification to regulatory bodies or certifying organisations

Appeals Process:

– Staff have the right to appeal disciplinary decisions through a formal process
– Appeals must be submitted in writing within 5 working days
– Senior management will review the appeal and provide written response

13. Zero Tolerance

Swimfit maintains a zero-tolerance policy for:

– Any form of abuse or mistreatment of participants
– Violation of participant privacy or confidentiality
– Breach of safeguarding protocols
– Falsification of qualifications
– Criminal conduct

Any staff member in breach of Swimfit’s zero-tolerance policies will face immediate investigation and potential termination of employment.

14. Communication and Training

– This Code of Conduct will be provided to all instructors during the hiring process
– All instructors must sign acknowledgement confirming understanding and agreement to this Code
– Annual refresher training on this Code will be provided to all staff
– Updates to this Code will be communicated promptly to all staff
– Questions or concerns regarding this Code should be directed to management

ENVIRONMENTAL POLICY

1. Purpose

Swimfit is committed to protecting the environment and operating swimming facilities sustainably. We recognise our responsibility to minimise environmental impact through responsible resource management, energy conservation, and sustainable water practices.

2. Aims

– Promote responsible environmental stewardship in all swimming facility operations
– Minimize water waste and implement efficient water treatment and recycling systems
– Reduce energy consumption through sustainable facility management
– Manage chemicals and materials responsibly to prevent pollution
– Support sustainable transportation options for participants and staff
– Become a more environmentally conscious organisation by continuously improving our practices

3. Our Commitments

– Optimise water usage through modern filtration and recycling technologies
– Implement energy-efficient heating, ventilation, and lighting systems in all facilities
– Responsibly manage pool chemicals and waste materials in compliance with environmental regulations
– Partner with venues and suppliers who share our environmental values
– Encourage participants and staff to adopt sustainable practices

4. Governance

ANTI-BRIBERY & CORRUPTION POLICY

1. Purpose

This policy applies to all employees, instructors, consultants, and business partners of Swimfit, regardless of location.

3. Definitions

Bribery: Offering, giving, receiving, or soliciting anything of value to influence a business decision or service.

Corruption: Abuse of entrusted power for private gain.
